Privacy Policy

This Privacy Policy explains how Timetics AI (“Timetics,” “we,” “us,” or “our”) collects, uses, stores, and protects your personal information when you visit our website, sign up for an account, or use our scheduling and booking platform.

By using Timetics AI, you agree to the terms described in this policy. If you do not agree, please do not use our services.

1. Information We Collect

Account information

When you create a Timetics AI account, we collect:

  • Your name, email address, and password (encrypted)
  • Profile details you choose to add (photo, company name, time zone, phone number)
  • Business or workspace name and branding details
  • Billing information (processed securely by our payment providers — see Section 4)

Booking and scheduling data

When you or your customers use Timetics AI, we process:

  • Appointment details (date, time, duration, location, attendees)
  • Service and pricing information you configure
  • Customer-submitted booking form data
  • Calendar events synced from connected calendars (Google, Outlook, iCal)
  • Payment status and transaction records

Integration data

When you connect third-party services (Google Calendar, Outlook, Zoom, Google Meet, Microsoft Teams, Stripe, PayPal, Zapier, and others), we receive only the data needed to operate that integration — calendar events, meeting links, payment confirmations, etc. We do not access or store more than what’s required.

Usage and technical data

When you browse our website or use the app, we automatically collect:

  • IP address, browser type, operating system, device information
  • Pages visited, features used, time spent, referring URLs
  • Cookies and similar tracking technologies (see Section 5)

Communications

If you contact us through support tickets, live chat, email, or forms, we keep records of those conversations to help you and improve our service.

2. How We Use Your Information

We use your data to:

  • Provide and operate the Timetics AI platform
  • Process bookings, sync calendars, send notifications, and handle payments
  • Authenticate your account and protect against fraud or abuse
  • Send transactional emails (booking confirmations, password resets, billing receipts)
  • Send product updates, marketing communications, and newsletters (only with your consent — you can unsubscribe anytime)
  • Improve our product through analytics and user feedback
  • Respond to support requests
  • Meet legal, tax, and compliance obligations

3. How We Share Your Information

We do not sell your personal data. We share information only in these cases:

  • Service providers: trusted vendors who help us run Timetics AI (cloud hosting, email delivery, analytics, customer support tools). They access only what they need and are bound by confidentiality.
  • Payment processors: Stripe, PayPal handle payments directly. They process your payment details under their own privacy and PCI-DSS-compliant systems.
  • Integrations you connect: when you link a third-party service (Google Calendar, Zoom, Microsoft Teams, etc.), data flows between Timetics AI and that service based on your authorization. Their privacy policies apply to data on their side.
  • Legal requirements: if required by law, court order, or to protect Timetics AI, our users, or the public from harm.
  • Business transfers: if Timetics AI is acquired or merged, your data may transfer to the new entity. We’ll notify you before that happens.

4. Payment Information

We do not store your full credit card or bank account details. All payments are handled by our payment partners — Stripe, PayPal – who are PCI-DSS compliant and use industry-standard encryption.

We retain limited information such as your billing email, last 4 digits of your card, transaction IDs, and invoice records for accounting and tax purposes.

5. Cookies and Tracking

Timetics AI uses cookies and similar technologies to:

  • Keep you signed in
  • Remember your preferences and settings
  • Analyze usage and improve product experience
  • Measure marketing campaign effectiveness

You can control cookies through your browser settings or our cookie preferences tool. Disabling some cookies may affect functionality (for example, you may need to log in repeatedly).

We use analytics tools (such as Google Analytics) to understand how the site is used. These tools collect data through cookies and may transmit it to their servers in accordance with their own privacy policies.

6. Data Storage and Security

We store your data on secure cloud infrastructure with industry-standard protection:

  • Encryption in transit (HTTPS/TLS) and at rest
  • Regular security audits and access controls
  • Role-based permissions for our team
  • Automated backups and disaster recovery

No method of transmission or storage over the internet is 100% secure. While we work hard to protect your data, we cannot guarantee absolute security.

7. Data Retention

We keep your account data for as long as your account is active. If you delete your account, we remove your personal data within 30 days, except where we’re legally required to retain certain records (billing, tax, fraud prevention).

Backup copies may persist briefly in our systems before being permanently overwritten.

8. Your Rights

Depending on where you live, you may have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate or incomplete information
  • Delete your account and associated personal data
  • Export your data in a portable format
  • Opt out of marketing emails (every email includes an unsubscribe link)
  • Restrict or object to certain types of processing
  • Withdraw consent at any time

To exercise any of these rights, email us at [email protected] or submit a request through https://timetics.ai/support/.

We’ll respond within 30 days. We may need to verify your identity before processing the request.

9. International Data Transfers

Timetics AI operates globally. Your data may be processed in countries outside your own. When we transfer data across borders, we use safeguards consistent with applicable laws (such as GDPR Standard Contractual Clauses).

10. Children’s Privacy

Timetics AI is not intended for users under 16. We do not knowingly collect data from children. If you believe a child has provided us information, contact us and we’ll delete it.

11. Third-Party Links

Our website and app may link to third-party sites or services. We are not responsible for their privacy practices. Please review their policies before sharing information with them.

12. Changes to This Policy

We may update this Privacy Policy occasionally. When we do, we’ll update the “Last updated” date at the top and, for material changes, notify you by email or through the app.

Continued use of Timetics AI after changes are published means you accept the updated policy.
