How Do I Change a Meeting’s Appearance

Meeting Appearance controls how your booking page looks to the person making a booking.

It includes the feature image or video shown at the top of the page, your brand colour, and the default layout customers use to browse available dates and times.

Appearance settings are managed in three places:

  • Appearance Setup: Calendar-specific feature media and booking layout.
  • Settings → Appearance: Workspace-wide branding, profile image, cover image, brand colour, and default booking layout.
  • Page Builder: A drag-and-drop editor for changing the structure and design of your public profile and booking pages.

Why Do You Need It?

  • Keep your booking experience on-brand: Add your logo, colour, image, or intro video so the page feels connected to your business.
  • Make a stronger first impression: Your booking page may be the first page a new client sees from your business.
  • Choose the right booking experience: Month, Week, and Day layouts suit different types of appointments.
  • Keep branding consistent: Workspace-wide settings let your calendars and public profile share the same visual identity.
  • Customize beyond basic styling: The Page Builder lets you rearrange sections and create more customized booking pages.

Step-by-Step Instructions

Step 1: Open the Appearance Setup Tab

Go to Dashboard → Manage Calendars, open the calendar you want to customize, and select Appearance Setup from the left rail.

Appearance Setup is available for both One-to-One and Service-based calendars.

Step 2: Add a Feature Image or Video

The first section is Feature Image or Video.

A calendar can have either an image or a video, but not both at the same time. Uploading an image removes the existing video, while adding a video removes the existing image.

Drag an image into the upload area or click to browse your files.

Feature Video

Paste the video link into the embed field. Timetics automatically detects the supported platform from the URL.

Supported video platforms include:

  • YouTube
  • Vimeo
  • Google Drive
  • Dropbox
  • Loom

Both images and videos have a delete action with a confirmation step.

Step 3: Choose Your Brand Colour

Open the Brand Color card and choose from the 13 available colour swatches.

The change saves immediately, and the selected colour is used across public-facing elements such as buttons, selected dates, links, and highlights.

Important: Brand Color is a workspace-wide setting. Although the control appears inside a calendar’s Appearance Setup tab, changing it affects every calendar and your public profile page.

Step 4: Choose the Booking Layout

The Booking Layout card lets you choose how customers initially browse your available dates and times.

DaySame-day or time-focused bookings where customers mainly want to scan available times.

Booking Layout is saved per calendar. This means different calendars can use different starting layouts.

The layout is resolved in this order:

  1. Calendar-specific booking layout
  2. Workspace default booking layout
  3. Month layout

The selected layout is only the starting view. Guests can still switch between Month, Week, and Day on the public booking page.

Workspace-Wide Appearance Settings

Go to Settings → Appearance to manage visual settings that should remain consistent across your workspace.

Brand / Profile Image

The Brand / Profile Image is used as your logo or profile identity on booking pages and in the public profile header.

  • Recommended size: 64 × 64 pixels
  • Supported formats: JPG, GIF or PNG
  • Maximum file size: 500 KB

Cover Image

The Cover Image appears across the top of your public profile page.

  • Recommended size: 1920 × 260 pixels
  • Maximum file size: 500 KB

The cover image is used on the public profile page only. Individual calendar booking pages use their own feature image or video.

Hide Timetics Branding

Enable Hide Timetics Branding to remove Timetics branding from scheduling pages, notifications, and confirmations.

This requires a plan that includes Custom Branding.

Dashboard Theme

The Theme setting lets you use light mode, dark mode, or match your device preference.

This setting affects the Timetics dashboard you use. It does not force the public booking page to use the same light or dark appearance.

Customize the Page with the Page Builder

If you want to change the actual structure of the page rather than only its appearance, use the Page Builder.

The visual editor has two customization scopes:

For Customize Booking Page, use the dropdown in the top bar to choose which calendar you want to edit.

Available Page Builder Tools

The Page Builder includes a visual block palette with elements such as:

  • Headings
  • Hero sections
  • Call-to-action sections
  • Testimonials
  • FAQs
  • Video
  • Images
  • Rich text
  • Columns
  • Spacers
  • Dividers

You also get a properties panel, desktop/tablet/mobile viewport switching, and a theme picker with colour presets.

Changes in the builder are autosaved as a draft. They do not become public until you click Publish.

The Page Builder requires a plan that includes Page Builder.

Key Functionality

  • Builder Theme Priority: Published Page Builder themes override the basic brand colour for individual pages.
  • Auto-Save: Appearance changes are saved instantly—no Save button required.
  • Per-Calendar Media: Each calendar can have its own feature image or video.
  • Workspace-Wide Brand Colour: Brand colour applies across the entire workspace.

Prerequisites

  • Permission to update calendars for calendar-specific appearance settings.
  • Settings update permission to manage Settings → Appearance.
  • A plan with Custom Branding to hide Timetics branding.
  • A plan with Page Builder to use the drag-and-drop editor.

Without settings update permission, the controls under Settings → Appearance are shown as disabled.

Important Notes

  • Image uploads are limited to 500 KB, and the limit is checked before the file is uploaded.
  • Feature images and videos are mutually exclusive. Adding one removes the other.
  • There is no undo when switching between feature image and video, so keep your original media if you may want to restore it later.
  • Brand Color is workspace-wide even though the control also appears inside the calendar’s Appearance Setup tab.
  • Use a published Page Builder theme if you need different colours for different calendars.
  • Booking Layout controls the initial view only. Guests can still switch between Month, Week, and Day.
  • The Theme setting under Settings → Appearance controls your dashboard appearance, not the customer’s booking page.
  • The Cover Image appears on your public profile page only.
  • Individual calendar booking pages use the calendar’s Feature Image or Video instead of the workspace Cover Image.
