How Roles and Permission Works in Timetics AI?

Timetics AI uses a role-based access control (RBAC) system. Every member of a workspace is assigned a role, and each role carries a set of permissions that decide what that member can see and do. This document explains the roles, what each can do, and how to manage them.

Overview

When you sign in, Timetics AI loads your workspace profile, which includes the exact list of permissions granted to you. The interface then adapts automatically, menu items, buttons, and actions you do not have permission for are hidden or disabled. This happens on top of your plan features: some capabilities (like PayPal or advanced analytics) are unlocked by your subscription plan, while permissions control who within the workspace may use them.

The Four Roles

Roles are ranked from least to most privileged:

RoleLevelSummary
Member1View and manage their own calendar, accept bookings, update availability, and collaborate within assigned teams and services. No access to workspace settings or user management.
Manager2Create and manage calendars, view team bookings, assign services and members, and invite users (except Admins). Limited workspace settings; no billing control.
Admin3Broad control across the workspace, including assigning permissions to roles.
Owner4Full workspace control, including billing, workspace configuration, and the ability to override any team setting. The Owner is the highest authority and is typically the person who created the workspace.

Permission Categories

Permissions are grouped by feature area. Most areas follow a Create / Read / Update / Delete (CRUD) pattern:

CategoryPermissions
Schedulescreate, read, update, delete
Couponscreate, read, update, delete
Availabilitiescreate, read, update, delete
Workflowscreate, read, update, delete
Teamscreate, read, update, delete
Integrationsread, integrate_personal, integrate_workspace
Analyticsread
Settingsread, update
Billingread, update
Workspacedelete

A member only sees a feature in the interface if their role grants at least the `read` permission for that category. Action buttons (create, edit, delete) appear only when the matching permission is present.

Step-by-Step: Managing Team Roles

Step 1: Open the Team Section

Navigate to Dashboard → Team. Here you see all workspace members with their assigned role and status.

Step 2: Invite a New Member

Click “Invite”, enter the person’s email, and choose a role (Admin, Manager, or Member). Send the invitation. The invitee receives a link showing which role they are being invited as.

Step 3: Accept an Invitation

When an invited user opens the link, they confirm the workspace and role, then either create an account or sign in to an existing one. On acceptance they are added to the workspace under the assigned role.

Step 4: Change a Member’s Role

On a member’s card, open the actions menu and select “Change Role”. Pick the new role and confirm. This option only appears if you have the Teams Update permission.

Step 5: Restrict or Remove a Member

Use “Delete” on the actions menu to remove a member from the workspace, or toggle their restriction to suspend access. Delete only appears if you have the Teams Delete permission.

How Access Is Enforced

Navigation: Sidebar and Settings menus are filtered so you only see items you can access. Items gated by a plan feature you do not have show an upgrade prompt instead.

Buttons and actions: Save, upload, edit, delete, and similar controls check your permissions before they appear or activate (for example, Settings Update for branding and timezone, Billing Update for subscriptions, Teams Update/Delete for member actions).

Routing: After sign-in you are routed to the dashboard or onboarding based on your account state, and expired sessions are refreshed automatically or redirected to sign-in.

Permissions vs. Plan Features

Two independent gates control access:

1. Permissions — what your *role* allows within the workspace (managed by Admins/Owner).

2. Plan features — what your *subscription* unlocks (e.g., PayPal, bKash, page builder, advanced analytics, workspace user invitation, role permissions management).

An action is available only when both gates pass: your role grants the permission and your plan includes the feature.

Viewing Role Permissions

Admins and Owners can open the Permissions dialog in Settings to review, per role, exactly which permissions are granted. This view is read-only and includes a short description of each role’s scope.

Prerequisites

  • Active Timetics AI account and workspace
  • Admin or Owner role to invite members, change roles, or manage permissions
  • A plan that includes workspace user invitation and role-permission management for full team control

Notes

Permissions are evaluated on every page load from your workspace profile, so role changes take effect the next time the affected member loads or refreshes the app. Inviting and managing Admins is restricted, Managers can invite Members and Managers but not Admins. Billing actions are reserved for roles with Billing permissions (typically Owner).
